UCLA’s Microsoft ecosystem incorporates generative AI directly into your day-to-day work—both as an institutional, privacy-protected web chat assistant and as an integrated co-pilot across Microsoft 365 desktop and cloud applications. When accessed with your UCLA credentials, institutional security boundaries protect your prompts, organizational data, and intellectual property.

Microsoft Copilot 

Your general-purpose, web-grounded AI chat assistant with enterprise privacy.

Microsoft Copilot provides multimodal conversational AI powered by advanced frontier models. When signed in with an authorized UCLA organizational account, the green "Protected" shield activates, ensuring user prompts and institutional inquiries are neither logged nor used to train public Microsoft AI foundation models.

  • Availability & Access: Available to active UCLA students, faculty, and staff at no additional licensing cost

  • Enterprise Privacy: Commercial Data Protection enabled automatically upon UCLA SSO login

Core Capabilities

  • Grounded Web Search & Analysis: Synthesize complex technical documentation, policy frameworks, and current academic literature with real-time web citations
  • Content Generation & Editing: Draft executive communications, faculty memos, grant proposal outlines, project plans, and rubric criteria
  • Multimodal Reasoning & Vision: Upload tables, architectural diagrams, charts, or images to extract text, summarize data structures, or explain figures
  • Code & Script Assistance: Generate, comment, refactor, and debug code in Python, PowerShell, R, Bash, SQL, and C#

Getting Started

  • Go to copilot.microsoft.com
  • Click Sign in and choose Sign in with a work or school account
  • Enter your campus email @ucla.edu or departmental domain) and authenticate via UCLA Logon / Duo MFA
  • Verify the Protected badge appears in the top corner of the chat window.

M365 Copilot for Workspaces

In-app generative AI natively integrated with Word, Excel, PowerPoint, Outlook, and Teams.

Microsoft 365 Copilot works alongside you directly inside your daily productivity suite. Unlike standalone chat tools, M365 Copilot connects securely to your Microsoft services (your emails, calendar, chats, meetings, and OneDrive/SharePoint files), allowing you to ask questions, surface insights, and generate deliverables using your existing institutional documents as context.

  • Availability & Access:
    • Faculty & Staff: Available via departmental or school purchase through UCLA Software Central (annual add-on subscription)
    • Students: Not available for direct student licensing at this time; student availability updates will be published as licensing tiers evolve
  • Launch Date: Active/Available via Software Central Request
  • Security & Compliance: Inherits your existing Microsoft 365 permissions and access controls; Copilot cannot access files or emails you do not already have permission to view.

Core Capabilities

  • Microsoft Word: Generate comprehensive drafts, convert notes into formatted reports, rewrite for tone or brevity, and summarize lengthy whitepapers
  • Microsoft Excel: Analyze tabular data using natural language, calculate complex formulas, generate trend forecasts, and automatically highlight outliers without manual macro scripting
  • Microsoft PowerPoint: Transform a Word document or project outline into a fully formatted, multi-slide presentation complete with speaker notes
  • Microsoft Outlook: Summarize lengthy email threads in seconds, draft contextual replies using "Help me write," and extract action items from incoming correspondence

Getting Started

  • License Procurement (Departments/Units): Departmental IT administrators and business managers can submit an add-on license purchase request via UCLA Software Central
  • Accessing the Tools: Once a license is provisioned to your account, the Copilot ribbon icon appears automatically in desktop and web versions of Word, Excel, PowerPoint, Outlook, and Teams
