Overview

End-User Readiness helps teams assess readiness, prepare for implementation, gather feedback, and support adoption beyond go-live.

This area focuses on whether impacted individuals are prepared, supported, and able to operate successfully in the future state. It helps project teams evaluate readiness before launch, provide focused support during implementation, stabilize adoption after go-live, and capture insights that improve future change efforts.

Why It Matters

A project is not successful simply because a system, tool, or process goes live. Success depends on whether end users understand the change, know what is expected of them, have access to the right support, and can continue working effectively after implementation.

End-User Readiness helps project teams identify adoption risks before they become operational issues. It provides a way to measure preparedness, respond to user needs, reinforce key behaviors, and transition from project implementation to sustainable use. This work also creates a feedback loop so project teams can learn from the experience, improve support materials, and strengthen future initiatives.

Supporting Activities

Readiness Assessments evaluate how prepared stakeholders and the organization are to adopt the change. They measure factors such as awareness, understanding, support, ability, communication effectiveness, leadership support, training preparedness, and stakeholder engagement. 

This activity helps teams:

  • Measure stakeholder preparedness before, during, and after implementation.
  • Identify gaps in awareness, understanding, capability, support, or confidence.
  • Use data and feedback to prioritize follow-up actions.
  • Inform go-live decisions, communication updates, training reinforcement, and readiness support.

Customer Success Model defines the longer-term support structure needed to help end users continue adopting and using the new solution successfully after go-live.

This activity helps teams:

  • Define success criteria, adoption indicators, and support expectations.
  • Clarify how end users will receive help after implementation.
  • Establish feedback channels for questions, issues, and improvement opportunities.
  • Connect project delivery to ongoing user support, service ownership, and sustainment.

Hypercare provides structured, time-bound support immediately after go-live so users can receive timely help, issues can be resolved quickly, and adoption can be reinforced during the critical transition period. 

This activity helps teams:

  • Establish support channels, roles, responsibilities, and escalation paths.
  • Monitor issues, user feedback, ticket trends, and adoption risks.
  • Provide targeted communications, guidance, and reinforcement during the post-launch period.
  • Transition unresolved items and support responsibilities to steady-state owners.

Lessons Learned & Outcomes captures feedback, project insights, successes, challenges, and recommendations that can inform future change efforts. It supports continuous improvement by turning implementation experience into practical guidance for future initiatives. 

This activity helps teams:

  • Gather feedback from project teams, stakeholders, support partners, and end users.
  • Identify what worked well, what created friction, and what should be improved.
  • Translate feedback into actionable recommendations.
  • Share insights with leadership, future project teams, and OCM practitioners to strengthen future planning and delivery.

OCM CoE Support

The OCM COE partners with campus units and project teams to assess organizational readiness, prepare end users for implementation, and reinforce adoption beyond go-live. We help teams evaluate readiness, identify adoption risks, develop transition and support strategies, and establish sustainable approaches that enable long-term success.

Our level of engagement is tailored to each initiative. Depending on the magnitude of change, we may provide strategic guidance, collaborate with project teams to develop readiness and adoption strategies, or provide hands-on support to assess readiness, coordinate post-go-live activities, and capture lessons learned.

Support may include:

  • Facilitating Readiness Assessments to measure organizational preparedness and identify adoption risks 
  • Developing or reviewing readiness criteria, go-live readiness plans, and mitigation strategies 
  • Advising on Customer Success Models that support sustained adoption and long-term organizational ownership 
  • Supporting Hypercare planning, governance, escalation pathways, and transition to steady-state operations 
  • Facilitating feedback collection, project retrospectives, and Lessons Learned sessions to drive continuous improvement 
  • Providing templates, tools, and best practices aligned with UCLA's OCM methodology 
  • Advising teams on how to scale readiness and post-go-live support based on project size, organizational complexity, stakeholder impact, and adoption risk
